STUDENT ENROLLMENT CONTRACT
Antares Denver ESL School
1. PARTIES
This Student Enrollment Contract ("Agreement") is entered into between:
School: Antares Denver ESL School, located at 14478 E I-25 Frontage Rd., Longmont, CO 80504, Denver, Colorado
2. ENROLLMENT REQUIREMENTS
To be enrolled and maintain active enrollment at Antares Denver ESL School, the Student must:
2.1. Pay tuition and all associated fees in full and on time as specified in this Agreement.
2.2. Maintain good academic standing, which means not being on academic probation for reasons related to grades, attendance, or behavior.
2.3. Maintain good financial standing with the School.
2.4. The candidate declares that all information provided is true, complete, and accurate.
2.5. The candidate agrees to take the placement test. If not completed, they will be placed at the initial level, according to institutional determination.
2.6. The candidate fully agrees with all rules, regulations, academic requirements, codes of conduct, and internal policies of Antares Denver.
2.7. The enrollment fee and any advance payments are non-refundable, regardless of personal reasons, withdrawal, change of plans, or denial of immigration petitions.
2.8. The transfer of the Form I-20 to another institution, or to an Antares branch, will only be released after completing 1 full term of study. If the minimum period is not fulfilled, the remaining proportional amount of the contract will be charged.
3. TUITION AND FEES
3.1 Tuition Billing and Payment
3.1.1 Tuition is billed on the first of each month automatically for the corresponding session to the email address from the Student's application unless the Student specifies a different email address.
3.1.2. Because sessions are 4 weeks in duration, the bill may arrive before or after the session begins. There are 12 sessions per year, and the Student's account will be credited for the correct session.
3.1.3. Monthly tuition amount: $550.00 (or $540.00 when paid via Zelle).
3.2 Late Payments and Fees
3.2.1. If tuition and fees are not paid in full by the 5th of each month, the School will charge a $25.00 late fee.
3.2.2. Any amount that is more than 30 days late will be charged a flat 10% fee per week until the account is settled.
3.2.3. Late tuition may affect the student's ability to be enrolled in classes, receive grades/reports, take vacation, transfer an "active" SEVIS record, and other consequences.
3.3 Payment Discounts
3.3.1. Zelle Discount: The School will provide a $10.00 discount each month that the Student pays tuition and fees via Zelle. There will be no reimbursements for previous payments. Students who pay via Zelle may pay $540.00, and the School will attach the $10.00 discount to the invoice after the fact.
3.3.2. Referral Discount: Students can receive a $100.00 discount when they refer new potential students to Antares. After the referral has paid their first month's tuition, the referring Student will receive the discount on the following month's tuition. To qualify, the new student must indicate who referred them on their application or contact the School at colorado@antares.edu. The School will not reimburse for any discounts, so referring students must maintain their enrollment to receive the discount.
3.4 Textbook Fees
3.4.1. Students are required to purchase the official course textbook(s) assigned to their level. Textbook prices are set by the publisher and may vary. The school does not add any markup or profit from textbook sales. Students pay the publisher's listed price at the time of purchase.
3.4.2. Students who repeat a level may continue using their current textbook and are not required to purchase a new one.
3.4.3. Students who want a physical copy of their textbook must request it from management at least two weeks prior to the beginning of the following term.
4. CONSEQUENCES OF NON-PAYMENT
4.1 Warning Process
4.1.1. Students will receive a verbal warning or message (email, text, WhatsApp, etc.) if there is a problem with their financial standing. This warning will come from the financial department first. Subsequent warnings may come from the general manager or the center director.
4.1.2. If the account is not brought current, a written warning/letter may be sent by electronic mail.
4.1.3. Students will be notified upon being dropped from classes and/or SEVIS termination.
4.2 Penalties and Removal
4.2.1. If the Student does not bring the account current or make payment arrangements, penalties can include being dropped from courses, placed on financial probation, up to being expelled from the School.
4.2.2. Beyond the fees and restrictions that may be imposed due to late or unpaid tuition, students may be removed from classes or even expelled from the program.
4.2.3. For F-1 visa holders, non-payment can affect their status in the USA, or at minimum make it so that the School will not transfer their record in active status until they speak with the school administrators to resolve their financial account.
4.2.4. After 45 days of delinquency, the Form I-20 will be automatically canceled.
5. ATTENDANCE POLICY
5.1 Minimum attendance required is 75%.
5.2 F-1 students must complete 18 in-person hours per week.
5.3 Three tardies count as one absence.
5.4 Tardiness over 30 minutes may result in a recorded absence.
5.5 Inappropriate behavior may be recorded as tardiness.
5.6 Consecutive unexcused absences will generate administrative contact.
5.7 Unexcused absences in the first week of a session may result in removal.
5.8 Low attendance results in academic probation.
5.9 If low attendance persists, the student may be expelled and SEVIS canceled.
5.10 Medical certificates are mandatory to justify absences.
6. VACATION POLICY
6.1 Eligibility for Vacation
6.1.1. SEVP regulations state that "F-1 students must complete at least one full academic year [26 weeks] at an SEVP-certified school to be eligible for annual vacation. Additionally, students must intend to register for classes in the academic term following their annual vacation." At Antares, the same principle applies to non-F-1 students.
6.1.2. Students must be in good academic standing, which means they are not on academic probation for reasons related to grades, attendance, or behavior, to be granted a vacation.
6.1.3. Students must be in good financial standing with the School to be eligible for a vacation.
6.2 Requesting Vacation
6.2.1. Students must send an email to colorado@antares.edu to request a vacation before the final week of classes of the term/semester preceding the desired vacation (approximately three weeks before the vacation).
6.3 Vacation Length and Terms
6.3.1. Students may receive up to three months of vacation after 2 full terms.
6.3.2. Three-month vacations can only begin at the beginning of a term.
6.3.3. Students must return from one or two-month vacations in time to start at the beginning of a term.
6.3.4. For a one-term vacation (3 months), a student should study for 2 full terms at the School. Time in study at another institution does not carry over to the School.
6.4 Vacation Approval and Notification
6.4.1. Students will be notified by email once their vacation is approved. The email will explain when their vacation will start and when they need to return.
6.4.2. If the Student does not have an email confirming approval, and is not green on the roster, they are not officially on vacation.
7. ACADEMIC PERFORMANCE POLICY
7.1 The student must attend regularly and submit mandatory activities.
7.2 Low performance or insufficient attendance will result in academic probation.
7.3 To exit academic probation, the student must meet goals and maintain attendance above 75%.
7.4 Non-compliance may result in expulsion.
7.5 Inappropriate conduct may result in a warning, academic probation, or expulsion.
8. TRANSFERS
8.1. Students who wish to transfer to another institution must provide at least 15 days' written notice to the School before the transfer can be processed.
8.2. All tuition and fees must be paid in full and the student's account must be current before the School will process any transfer requests or transfer SEVIS records.
8.3. For F-1 visa holders, SEVIS records will only be transferred in active status if the Student is in good academic and financial standing. Failure to provide adequate notice or maintain current payments may result in SEVIS termination rather than transfer.
8.4. Submission of an Acceptance Letter and Transfer Form is required.
9. RE-ENROLLMENT
9.1. If a Student withdraws or is expelled from the School, re-enrollment is at the sole discretion of the School administration.
9.2. A re-enrollment fee of $150.00 will be charged to students who return after withdrawal or expulsion.
9.3. All outstanding balances must be paid in full before re-enrollment will be processed.
10. ENROLLMENT OF REINSTATEMENT CANDIDATES
Reinstatement candidates are those who wish to be reinstated to F-1 status after being terminated in the SEVIS system.
10.1 Enrollment Fee: $200.00
10.2 Tuition: $550.00, paid at the time of reinstatement enrollment.
10.3 The candidate must begin classes immediately after the Form I-20 is issued.
10.4 Fees are non-refundable, even in case of petition denial or withdrawal.
10.5 The candidate will only be entitled to vacation after USCIS approves the reinstatement process.
10.6 The candidate must maintain 100% attendance until the final USCIS decision.
10.7 Form I-20 transfer will only be released after 1 full term; otherwise, the proportional contractual amount will be charged.
11. ENROLLMENT OF TPS / RETROACTIVE STATUS CANDIDATES
This category includes cases of expired Temporary Protection Status (TPS) and expired retroactive stay according to I-94 or extension, duly proven by an official immigration letter.
11.1 Enrollment Fee: $200.00
11.2 Tuition: $650.00, charged only after USCIS approval.
11.3 Fees are non-refundable, even in case of denial or withdrawal.
11.4 Form I-20 transfer is allowed only after 1 full term; otherwise, the proportional contractual amount will be charged.
12. HEALTH INSURANCE
12.1 The School strongly recommends that the student obtain health insurance for the entire duration of their stay in the U.S.
12.2 The student must provide proof of coverage or acquire a plan indicated by the School.
12.3 A student without insurance will be fully responsible for all medical expenses.
13. MEDICAL AUTHORIZATION (STUDENTS UNDER 18 YEARS OLD)
By signing this Agreement, the authorized guardian declares that they authorize medical diagnosis and treatment of the student, as well as the disclosure of medical information for insurance and care purposes. The guardian accepts responsibility for excess expenses and conditions not covered by insurance.
14. MEDICAL LEAVE
14.1 Presentation of an official medical statement to the School is required to qualify for and document medical leave.
15. IMAGE USE
15.1 By signing this Agreement, the student authorizes the use of their name, image, and voice for institutional purposes.
15.2 This includes use on social media, the School's website, videos, and printed materials.
15.3 No financial compensation will be provided for such use.
15.4 Revocation of this authorization must be requested in writing at least 30 days in advance.
16. MANDATORY SEVIS REPORTING
16.1 The student must inform the Designated School Official (DSO) of any updates regarding I-539 or F-1 processes.
16.2 I-797 documents must be submitted to the School within 5 business days of receipt.
16.3 Any changes to personal data (address, contact information, etc.) must be reported to the School immediately.
16.4 Non-compliance with reporting requirements may result in Form I-20 cancellation and SEVIS termination.
17. STUDENT RESPONSIBILITIES
The Student agrees to:
1.7.1. Attend all scheduled classes and maintain satisfactory academic progress.
1.7.2. Notify the School promptly of any changes to contact information, including email address, phone number, or mailing address.
1.7.3. Review all invoices and statements promptly and notify the School of any discrepancies within 5 business days.
1.7.4. For F-1 visa holders, maintain valid immigration status and comply with all SEVP regulations.
1.7.5. Conduct themselves in a professional and respectful manner in accordance with School policies.
18. SCHOOL'S RIGHTS AND RESPONSIBILITIES
The School reserves the right to:
1.8.1. Modify tuition rates and fees with 30 days' written notice to currently enrolled students.
1.8.2. Change class schedules, instructors, or curriculum as necessary.
1.8.3. Suspend or expel students who fail to maintain good academic or financial standing.
1.8.4. Terminate SEVIS records for F-1 students who are not in compliance with program requirements.
19. TERM AND TERMINATION
1.9.1. This Agreement begins on the Date of Enrollment and continues on a month-to-month basis until terminated by either party.
1.9.2. The Student may terminate this Agreement by providing written notice to the School at least 15 days before the beginning of the next session.
1.9.3. The School may terminate this Agreement immediately for non-payment, academic misconduct, or violation of School policies.
1.9.4. Upon termination, the Student remains responsible for all outstanding tuition and fees.
20. GENERAL PROVISIONS
2.0.1. Entire Agreement: This Agreement constitutes the entire agreement between the parties and supersedes all prior agreements or understandings.
2.0.2. Amendments: This Agreement may only be amended in writing signed by both parties.
2.0.3. Governing Law: This Agreement shall be governed by the laws of the State of Colorado.
2.0.4. Severability: If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
2.0.5. Omissions: Any matters not covered by this Agreement will be evaluated and determined by School management.
21. SIGNATURES
By signing below, the parties acknowledge that they have read, understood, and agree to be bound by all terms and conditions of this Student Enrollment Contract.
